CAP@SRT Residency

Visual Arts Exhibitions - Program Guidelines

Fantasy Theatre Factory welcomes outstanding visual art across styles and subjects, bringing South Florida artists and new audiences together at the Sandrell Rivers Theater.

Supported by The Jorge M. Pérez Family Foundation at The Miami Foundation, CAP@SRT Residency provides selected artists with exhibition space, visibility, professional-development opportunities, and a setting where their work can be discovered alongside the theater’s year-round cultural programming.

Exhibitions take place in designated areas of the Sandrell Rivers Theater’s first- and second-floor lobbies. Selected artists may offer accepted work for sale during the exhibition.

This program helps artists create and present public performances while building sustainable artistic growth within Miami-Dade County’s performing arts community.

1. Who may apply:
  • Individual artists, collectives, curators, and arts organizations based in Miami-Dade County are eligible. Applicants from Broward, Monroe, and Palm Beach counties may also apply with a demonstrated connection to Miami-Dade audiences.

  • Emerging and established artists are welcome. Applicants should demonstrate an active artistic practice through a portfolio and at least one year of documented work.

  • Solo, group, and curated exhibitions are considered. Group proposals must identify one primary contact. Each participating artist must own the work submitted or have authority to exhibit and, where applicable, sell it.

2. Artistic quality and selection:
  • Artistic excellence is the primary consideration. We seek compelling work that demonstrates skill, imagination, a distinctive artistic vision, and thoughtful presentation. Work may stand out through craftsmanship, visual beauty, emotional impact, experimentation, or the strength of an idea.

  • Traditional, contemporary, representational, abstract, and experimental approaches are welcome. No particular theme, message, community representation, or local subject matter is required.

  • Selections are based primarily on the quality of the artwork and the strength of the proposed exhibition.

  • Suitability for the available space, safe display, readiness to exhibit, and the overall balance of the exhibition calendar are also considered.

  • FTF/SRT retains final curatorial and operational approval of accepted work, placement, and display methods.

  • Exhibitions are considered for available dates throughout the year. Cultural or heritage connections may inform scheduling, but they are optional and do not outweigh artistic merit or limit an exhibition to a particular month

3. What the residency provides

  • Exhibition Space — Approved exhibition space for at least 30 calendar days at no rental cost.

  • Display Support — Use of available easels and limited display equipment, plus coordination of installation and removal.

  • Visibility — Exhibition listing through FTF/SRT, on-site identification, and promotional support through available email and social channels.

  • Audience Access — Exposure to audiences attending performances, rentals, community programs, and other activity at the Sandrell Rivers Theater.

  • Sales Support — FTF coordinates artwork sales during the exhibition; artists receive 70% of the approved selling price.

  • Professional Development — Access to applicable CAP@SRT Business of the Arts programs and resident resources.

4. Exhibition dates and public viewing

  • Exhibitions are generally scheduled for at least 30 calendar days, unless another period is agreed in writing. Installation and collection appointments are arranged separately.

  • Viewing may be available during approved business hours, on public event nights, and by appointment. Access depends on the theater’s schedule, staffing, and building operations; visitors should confirm availability before making a special trip.

  • The exhibition occupies shared theater space rather than an exclusively operated gallery. Specific lobby placement, uninterrupted public access, lighting conditions, and continuous display are not guaranteed. Admission arrangements for other events remain in effect, and an exhibition visit does not include admission to a ticketed performance

5. Shared space and temporary relocation

  • The lobbies accommodate performances, rentals, community activities, maintenance, and other theater operations throughout the year. Artwork may need to be temporarily rearranged, relocated, or removed from display when those activities require it. Artists must be able to accommodate interruptions lasting one or more days.

  • FTF will discuss known interruptions before confirming an exhibition and communicate later changes as soon as practicable. Operational or emergency needs may require changes on shorter notice.

  • Before installation, the artist and FTF will confirm who may move the work, any special handling instructions, and the arrangements for temporary placement or artist pickup. Artwork may be moved by the artist, an approved representative, or authorized FTF staff under those arrangements. Temporary storage at SRT must be specifically confirmed.

  • Artists must identify fragile, high-value, oversized, technically demanding, or otherwise special-handling work in advance and provide any necessary packaging, equipment, or assistance. FTF/SRT may decline a work or require additional arrangements when it cannot be safely or reasonably accommodated.

  • Temporary interruptions do not automatically extend the exhibition. Any revised dates must be agreed in writing and depend on availability.

6. Artwork, installation, and display

  • Painting, drawing, photography, printmaking, textile work, and mixed media are welcome. Sculpture, digital work, and other installations may be considered when their space, equipment, safety, and handling needs can be accommodated.

  • Easel-compatible artwork is preferred. The number, dimensions, and weight of accepted pieces depend on the approved layout, available equipment, and safe handling requirements.

  • Artwork must arrive complete, stable, and ready for display, with secure frames, backing, bases, or supports as appropriate. Prints, editions, reproductions, and collaborative works must be accurately identified.

  • Artists must disclose fragile components, unusual materials, special handling, and electrical or technical needs before acceptance. Attachment to the building, adhesive mounting, suspended work, sound, power, and additional equipment require advance written approval.

  • Displays must maintain clear entrances, exits, accessible routes, and access to theater services. Artwork and display materials must comply with applicable safety requirements and be appropriate for a shared public facility.

  • Artists coordinate delivery, installation, and removal with FTF. Only accepted work may be installed. Substitutions, additions, or material changes require prior approval. FTF/SRT may remove or reposition work when required for safety, facility operations, or compliance with the approved exhibition arrangements.

7. Artwork sales
  • Artists may offer accepted artwork for sale. Pieces unavailable for purchase must be clearly marked “Not for Sale.”

  • For each accepted artwork sold during the agreed exhibition period, the artist receives 70% of the approved published selling price and FTF receives 30%.

  • The split is calculated on the artwork price, excluding applicable sales tax, not on the artist’s profit after materials, framing, or other expenses. Artists should account for the commission when setting prices.

  • For example, an artwork priced and sold at $1,000 provides $700 to the artist and $300 to FTF, excluding applicable sales tax.

  • Prices are confirmed before opening. Discounts, substitutions, or price changes require prior written approval.

  • All sales of accepted work during the exhibition period must be coordinated and recorded through FTF, including inquiries received directly by the artist. The commission applies throughout the agreed exhibition dates, including temporary interruptions in display, and does not apply to unrelated work outside the exhibition.

  • Sold artwork normally remains on display until closing unless an earlier release is approved. Buyer collection is coordinated through FTF.

  • Artists receive an itemized sales statement and payment for completed, fully paid sales within 30 days after the exhibition closes. Final sale, refund, payment, tax, and pickup procedures are governed by the signed Exhibition & Consignment Agreement.

8. Receptions and artist engagement

  • Artists are welcome to request an optional reception or meet-the-artist gathering on an evening when another event is already scheduled at SRT.

  • Arrangements depend on available space, staffing, guest access, and coordination with the existing event and its organizer. The date, time, refreshments, signage, sound, and any equipment must be approved before the gathering is announced.

  • A complimentary standalone reception is not included. Additional staffing, security, equipment, or operating hours may carry charges identified in advance. Food and beverage service is coordinated through SRT or its authorized providers unless otherwise approved in writing.

  • A reception invitation does not include admission to another producer’s ticketed event. Artist talks, guided viewings, and collaborations may also be discussed during exhibition planning.

  • A reception or ticketed event is not required for an exhibition.

9. Marketing & Promotion Requirements

  • Artists provide an exhibition title, brief exhibition statement, biography, and two or three high-resolution, rights-cleared images. Final promotional materials are due 45 days before opening unless a shorter schedule is approved.

  • Each artwork must have an approved label identifying the artist, title, medium, and selling price or “Not for Sale” designation. Edition or reproduction information must be included where applicable. FTF will provide the approved purchase instructions.

  • Artists are expected to promote their exhibition through their own networks and share approved FTF/SRT publicity. FTF’s promotional schedule depends on available space and timely receipt of complete materials.

  • Exhibition publicity and signage must use the current CAP@SRT, FTF/SRT, and funder credits supplied by FTF. Materials must be submitted for approval before public release; materials featuring funder names or logos should be submitted at least one week before publication.

  • Artists retain copyright and confirm that they have the rights needed to exhibit the work and provide promotional images. With written permission, FTF/SRT may use approved images and exhibition documentation, with appropriate credit, for program publicity, educational communication, funder reporting, and archives. Unrelated commercial reproduction requires separate permission.

10. Application and selection
  • Submit your background, portfolio, and proposal through the CAP@SRT Visual Arts Exhibition Application. Describe the work, what brings the pieces together, and what you would like viewers to notice or experience. Include preferred dates, flexibility, anticipated artwork count, approximate dimensions, and display or handling needs. Any cultural or calendar connection is optional.

  • Provide a direct portfolio link or a shared, view-only cloud folder that opens without a login, password, permission request, or expiration. Curators and group applicants may submit individual artist links or one clearly labeled shared folder representing the proposed exhibition.

  • FTF may invite applicants to discuss the proposal or visit the space. Selection is not a final commitment of dates or acceptance of every proposed work. Participation is confirmed only after the exhibition details and agreement are completed. Please wait for written confirmation before publicly announcing the exhibition.

11. Confirmation, artwork care, and collection

  • Before delivery, participating artists sign an Exhibition & Consignment Agreement confirming the accepted work, dates, approved prices, stated values, payment terms, display permissions, and handling arrangements. An approved inventory and condition record accompany the artwork.

  • Artists are responsible for arranging insurance appropriate to the value and nature of their work and for transportation to and from SRT. FTF/SRT does not provide a separate fine-art insurance policy for participating artists. Additional insurance or handling requirements may apply to high-value, fragile, technically demanding, or public-facing activity and will be confirmed before delivery.

  • Scheduling changes or cancellations should be communicated as early as possible. FTF/SRT may adjust, suspend, relocate, or cancel an exhibition when required by facility operations, safety, emergencies, legal requirements, or material noncompliance with the agreed arrangements.

  • Artists must collect unsold artwork, packaging, and personal display materials on the agreed date. Storage beyond that date is not included and requires a separate written arrangement.

  • These guidelines apply specifically to visual arts exhibitions within CAP@SRT Residency. Performance-specific residency requirements, rehearsal allocations, ticketed-event minimums, and performance box-office terms do not apply unless separately agreed in writing
