CAP@SRT Residency

Program Guidelines

 

The CAP@SRT Residency at Fantasy Theatre Factory at the Sandrell Rivers Theater supports South Florida–based performing artists and organizations through no-cost space, technical assistance, and professional development, made possible by The Jorge M. Pérez Family Foundation at The Miami Foundation.


This program helps artists create and present public performances while building sustainable artistic growth within Miami-Dade County’s performing arts community.

Program Goals:
  • Strengthen Miami’s performing arts ecosystem through the creation and presentation of high-quality work.

  • Provide equitable access to professional theater facilities, mentorship, and resources.

  • Encourage collaboration among resident artists, Fantasy Theatre Factory, and the community.

  • Amplify underrepresented voices through public performances, education, and community engagement.

Each Residency Includes:
  • Facilities: Rehearsal and performance spaces at no cost, subject to availability.

  • Support: Technical and marketing assistance from Fantasy Theatre Factory staff.

  • Professional Development: Business of the Arts workshops on operations, fundraising, and growth.

1. Eligibility & Priority

 

To qualify for the CAP@SRT Residency, applicants must meet the following criteria:​

Eligibility Requirements
  • Based in Miami-Dade County, or in South Florida (Broward, Monroe, or Palm Beach Counties) with a demonstrated record of serving Miami-Dade audiences.

  • Professional, emerging, or community-based performing arts organizations, collectives, or individual artists.

  • Working in theatre, dance, music, or multidisciplinary performance.

  • Have at least one year of documented public programming or artistic work.

 
Priority Consideration
  • The CAP@SRT Residency is merit-based and strongly encourages applications from BIPOC- and LGBTQ+-led artists and organizations.

  • Projects that include multilingual programming (e.g., Spanish or Haitian Creole).

  • Programs that reflect Miami’s cultural diversity and community identity.

  • Projects that can be presented effectively in the Studio Theater (80 seats) or Multipurpose Room (94 seats).

2. Application Process & Key Dates

 

The CAP@SRT Residency accepts applications year-round on a rolling basis. Applicants are notified of their status within 30 days of submitting a complete application.

Selection Criteria

Applications are evaluated based on the following:​

  • Artistic quality and originality of the proposed residency program.

  • Feasibility within available resources and theater space.

  • Community relevance and cultural impact.

  • Capacity to meet residency requirements and deadlines.

  • Service to Miami-Dade’s diverse audiences, including cultural, linguistic, and other forms of diversity.

  • Potential for growth and sustained engagement in Miami-Dade County.

 
Application Steps

  • Step 1 – Submit Application

    • Complete the CAP@SRT Residency Application at ftfshows.com/cap.

    • Provide details about your organization, artistic focus, technical needs, and community engagement plans.

    • Upload supporting materials such as work samples, budget drafts, and proof of insurance (or a plan to obtain it).

 

  • Step 2 – Review & Interview

    • Applications are reviewed by the FTF/SRT team based on artistic merit, community impact, feasibility, and alignment with program goals.

    • Selected applicants may be invited to an interview to discuss scheduling, marketing, and technical logistics.

 

  • Step 3 – Selection & Contracting

    • Approved residents will receive the CAP@SRT Residency Agreement and Rider for signature.

    • Once signed, residents are onboarded to the Partner Portal and gain access to request calendars and resource materials.

 

  • Step 4 – Orientation & Onboarding

    • Residents attend an orientation session covering:

      • Overview of FTF/SRT policies and facility procedures

      • Crediting requirements and marketing protocols

      • Scheduling access for rehearsals, performances, and workstations

      • Enrollment in Business of the Arts sessions

3. What the Residency Provides

  1. Space & Production Support

    1. Rehearsal sessions scheduled in 4-hour blocks, available Monday–Friday, 9 AM–5 PM at no cost.

    2. Performance venue access in either:
       1. Black Box Theater (≈ 200 seats) or
       2. Studio Theater / Multipurpose Room (≈ 80 / 94 seats).

    3. Up to two technical rehearsal days (up to 8 hours per day) included.

    4. FTF production staff onsite during technical rehearsals and performances.

    5. Access to installed lighting and sound systems.

    6. Load-in, performance, and load-out managed in 4-hour blocks.

    7. Special technical effects (e.g., haze, rigging, projections, or seating reconfiguration) require prior approval and may incur added costs.

  2. Administrative & Office Access

    1. Access to SRT office workstations for administrative work.

    2. Available Monday–Friday, 9 AM–5 PM, reservable through the online CAP Resident Portal.

    3. Secure digital storage via the CAP@SRT Hive network.

    4. USB-based printing system with a monthly allowance of 100 pages per partner.

  3. Marketing & Outreach Support

    1. Event listings on ftfshows.com, sandrellriverstheater.com, and the FTF ticketing portal.

    2. Inclusion in select FTF/SRT email campaigns and social-media promotions (as scheduling permits).

    3. Access to marketing templates, funder logos, and crediting guidelines.

    4. Guidance on press releases, ad design, and approval procedures.

  4. Professional Development

    1. Residents receive complimentary access to FTF’s Business of the Arts sessions, led by FTF’s company leadership.

4. Residency Requirements​​

Once accepted as a CAP@SRT Resident, participants must:

  • Present at least four (4) days of public programming, such as performances, showcases, or community presentations.

  • For visual art residencies, exhibitions must remain open for at least 30 consecutive days.

  • Include at least one ticketed event as part of each project. Programs may combine ticketed and free components (for example, a paid public performance and a free master class), but projects that are entirely free are not eligible.

  • Submit all required production, technical, and marketing materials by established deadlines.

  • Maintain clear communication with FTF/SRT staff and follow all theater policies, procedures, and scheduling guidelines.

5. Scheduling & Space Requests
  • Request Process:

    • All rehearsal, performance, and office space reservations must be submitted through the CAP@SRT Residency online calendar.

    • Requests may be made up to two (2) months in advance and no later than two (2) weeks before the requested date.

  • Approval & Confirmation: Submission of a request does not guarantee approval. Residents will receive email confirmation once the request has been reviewed and approved by FTF/SRT staff.

  • After-Hours Use: Use of space outside standard hours (as outlined in Section 5) may require security staffing, and related costs will be billed directly to the resident.

6. Technical Guidelines

  • A final technical rider and cue sheet must be submitted no later than 14 days before the first scheduled rehearsal or load-in.

  • Residents may use the space for up to eight (8) hours per program day, including setup and strike.

  • Additional time is billed in one-hour increments at the following rates:

    • $175/hour – Black Box Theater

    • $100/hour – Studio Theater or Multipurpose Room

  • An FTF technician will be assigned and must be present for all scheduled performances and technical rehearsals requiring equipment or cue operation.

  • Audio and video files must be submitted in approved formats (.MP3 or .MP4).

  • Use of venue equipment is limited to installed systems; any external rentals or gear must be pre-approved in writing.

  • Special effects (e.g., haze, fog, rigging, projections) require advance written approval and may incur additional costs.

  • All technical requests (including live musicians, multimedia, or complex setups) must be confirmed in writing prior to final approval.

7. Financial Terms

Revenue Split
  • Resident: 70% of net box office revenue

  • Fantasy Theatre Factory (FTF): 30% of net box office revenue

  • No minimum guarantee applies under the Pérez Family Foundation at The Miami Foundation funded CAP@SRT Residency.

Ticketing & Fees
  • All tickets — including complimentary tickets beyond the allowable limits — are subject to the following:

    • Facility Fee: $2 per ticket

    • Ticketing Fee: 10% or $1.75 per ticket (whichever is greater)

    • Processing Fee: 4.5% for all payment methods (credit card processing and cash handling)

Complimentary Tickets (Comps)
  • Black Box Theater: First 10 comps per performance are free.

  • Studio Theater or Multipurpose Room: First 4 comps per performance are free.

  • Additional comps: Billed at 30% of the standard ticket price plus a $2 facility fee per ticket.

Box Office Settlements
  • Box office settlements are processed within 30 days after the final performance.

Box Office Policy
  • Fantasy Theatre Factory (FTF) is the sole ticketing vendor and controls all box office operations.

  • CAP@SRT Residency partners may not sell tickets for events at the Sandrell Rivers Theater through any other platforms or mediums.

  • Organizations found in violation of this policy may have their residency terminated and be barred from future participation.

8. Marketing & Promotion Requirements

Resident Responsibilities
  • Submit final event details (title, 100-word description, credits, runtime, age advisory, and ticket prices) at least 45 days before opening.

  • Provide 2–3 high-resolution, rights-cleared images for promotional use.

  • Submit a press release or short event blurb for inclusion on ftfshows.com.

  • Use required funder acknowledgments and logos as outlined in Section 9.

FTF Responsibilities
  • Create the official event page on ftfshows.com, sandrellriverstheater.com and set up ticketing portal.

  • Include approved events in FTF newsletters and social media posts, as calendar space allows.

  • Provide an optional branded graphic template and marketing checklist for consistent design and crediting.

  • Offer basic consultation on press strategy and advertising when requested in advance.

9. Funding Credits & Public Acknowledgment

All CAP@SRT Residents must credit Fantasy Theatre Factory at the Sandrell Rivers Theater, The Jorge M. Pérez Family Foundation at The Miami Foundation, and the Miami-Dade County Department of Cultural Affairs in all residency-related materials.

 

Required Acknowledgment Language:

 

“This project is presented in partnership with Fantasy Theatre Factory at the Sandrell Rivers Theater and it is made possible with support from The Jorge M. Pérez Family Foundation at The Miami Foundation and the Miami-Dade County Department of Cultural Affairs and the Cultural Affairs Council, the Miami-Dade County Mayor, and Board of County Commissioners.”

Approvals
  • All marketing and promotional materials must be submitted to FTF for approval before release or public use.

  • Because FTF coordinates funder approvals with The Jorge M. Pérez Family Foundation and The Miami Foundation, materials must be submitted at least one (1) week prior to publication or posting.

Usage Requirements:
  • Logos and credit lines must appear exactly as provided in the Partner Portal.

  • On-site signage displaying required funder logos must be visible during all public performances or exhibitions.

  • Materials featuring funder names or logos must be approved prior to public release.

Media & Promotion Requirements:
  • Provide FTF with a list of media outlets receiving press releases or media alerts.

  • Include FTF in all press communications and share copies of resulting coverage.

  • Promote events through the resident’s own social media channels, including reposting or sharing FTF’s official event promotions.

  • Collaborate with FTF to provide interview or feature opportunities for artists or creative team members when requested.

10. Insurance & Compliance
Certificate of Insurance (COI)

​All residents must maintain a valid Certificate of Insurance from a company rated A- or higher, with a minimum of $1,000,000 in general liability coverage and workers’ compensation (if applicable).

The COI must:

  • Name Fantasy Theatre Factory, Inc. and Miami-Dade County as additional insureds.

  • List the following addresses:

    • Fantasy Theatre Factory – 6103 NW 7th Ave, Miami, FL 33127

    • Miami-Dade County, GSA (Risk Management Division – Property & Casualty Unit) – 111 NW 1st St #2340, Miami, FL 33128

 

Residents unable to provide coverage must notify FTF at the time of application for potential case-by-case waiver consideration, and must report any changes to coverage within five (5) business days with updated documentation.

Safety & Compliance

Residents must comply with all:

  • Sandrell Rivers Theater safety and fire codes

  • ADA accessibility standards for artists and audiences

  • FTF digital and data-use policies when using residency workstations

  • Safe load-in/load-out procedures for all equipment and materials

  • FTF reserves the right to request additional insurance coverage, documentation, or compliance reviews at any time during the residency.

11. Cancellation & Changes

Resident Cancellations or Date Changes
  • Residents must notify FTF at least 30 days in advance of the first scheduled performance to avoid penalties.

  • Cancellations made within 30 days of the first performance—or during the run—may, at FTF’s discretion, result in ineligibility for future participation in the CAP@SRT Residency.

  • Requests to reschedule performances or rehearsals are subject to availability and FTF approval.

  • Rescheduling may incur administrative or security fees if additional staffing or schedule adjustments are required.

FTF Cancellations
  • FTF reserves the right to cancel, reschedule, or reassign space in cases of facility emergencies, safety concerns, or noncompliance with residency terms.

  • If FTF cancels an event for reasons beyond the resident’s control, any prepaid fees will be refunded in full.

12. Business of the Arts Sessions

Each CAP@SRT Resident receives free access to a rotating series of Business of the Arts workshops led by Fantasy Theatre Factory’s leadership team.


These sessions are designed to help artists and small organizations strengthen their management, production, and sustainability skills beyond their residency.

  1. Building a Sustainable Arts Organization Led by Larry Fields – Executive Artistic Director

    • Grant application review and personalized feedback

    • Budget development and financial strategy

    • Organizational growth and long-term planning

    • Fundraising and partnership development

  2. The Business Behind the Curtain: Producing & Managing Live Events Led by Evelyn Gigiras Sullivan – Theater Manager

    • Navigating contracts and required documentation

    • Creating effective seating maps

    • Ticket pricing strategies and audience planning

    • Professional event execution from setup to close

  3. CAP@SRT Systems & Developing a Marketing Infrastructure Led by Rommel Arellan-Marinas – Associate Artistic Director

    • Step-by-step guidance for using CAP@SRT calendars, forms, and communication protocols

    • Building a sustainable marketing workflow using free and low-cost tools

    • Practical use of nonprofit software for visibility and engagement

12. Partner Portal Includes

 

All approved residents receive access to the CAP@SRT Partner Portal, a centralized online hub for all residency tools, forms, and resources. The Portal is designed to help residents manage scheduling, marketing, compliance, and communication efficiently throughout their residency.

 

What You’ll Find in the Portal

  • Branding & Credit Tools: Official funder logos, acknowledgment templates, and usage guidelines for all materials.

  • Scheduling & Space Requests: Online calendars, booking rules, and access procedures for rehearsals, performances, and office use.

  • Marketing & Publicity Support: Submission forms, templates, press and social-media toolkits, and event listing setup guides.

  • Technical & Production Resources: Venue specifications, tech rider templates, cue sheets, and safety guidelines.

  • Finance & Administration: Settlement timelines, invoice forms, ticketing and fee breakdowns, and W-9/ACH upload links.

  • Policies & Compliance: Insurance requirements, ADA and accessibility standards, house rules, and emergency contacts.

  • Professional Development: Business of the Arts workshop calendar, registration details, and ongoing learning opportunities.

  • Contacts & Support: Department directory, and key staff contacts for assistance.

  • Applicants are encouraged to check out the following grant funding resources:

    • Miami-Dade County Department of Cultural Affairs: Offers grant opportunities for artists and organizations.

    • Funding Arts Network (FAN): Provides grants and support for emerging and mid-career artists and arts organizations in Miami-Dade County.

    • Knight Foundation: Provides funding for innovative and creative ideas that can enhance communities.

    • Miami Foundation: Offers various grants and programs to support community organizations and initiatives.
